HR & Admin Executive

JOB DESCRIPTION

  • Ensure proper administration of plant and hostel according to company policies and procedures.
  • Support the Human resource in term of managing the foreign workers issues.
  • Administrate the building, tenancy agreement and staff accommodation.
  • Any other duties and responsibilities assigned from time to time.

Foreign Workers

  • Register at Fomema and organise the medical checkup. Coordinate with production and plan appropriate date within the Fomema Validity Period.
  • Attend to Immigration for renewal of work permit, Check-out Memo for those leaving the country or Special Pass when necessary ( Sanyco/Sugihara & Sendayan)
  • Fomema record  and renewal process timely update of each stages in the google sheet.
  • Send sick or injure employees to panel clinic or hospital (Govt) for Sugihara & Sanyco Plant.
  • Arrangement of Local & FW accommodation – Sugihara & Sanyco.
  • Send employees to the bank or others location if requested.

Hostel

  • Inspection on a min of twice per months for the hostel and prepare the appropriate report.
  • Raise appropriate Action Plan to maintain the standard of the Hostel.
  • Coordinate with Maintenance and supplier for repairing or renewing the Fore extinguisher permit, etc.
  • Prepare budget for the hostel accommodation and obtain for approval before buying (if necessary)
  • Update Budget Vs Actual for Hostel Expenses.
  • Conduct training on how to upkeep the cleanliness of the hostel.
  • Ensure timely utilities bills being collected and submit for payment together with the relevant cost centre.
  • Attend to complaint by hostel owner and surrounding neighbour of the hostel, if any.

Plant Cleanliness

  • Ensure the cleanliness of the plant.

Security

  • Ensure and verify the daily security report.
  • Ensure security reporting to work and comply to the SOP of work.

Waste Monitoring

  • Monitor company’s rubbish and carpet waste plus rubbish press output and daily disposal to landfill (Sugihara)

Administration

  • Adhoc duty including sending of documents (government statutory / cheques and others as instructed)

  • Organized, with an ability to meet deadlines.

KPIs

  • On time medical checkup.
  • On time Hostel Inspection report.
  • 5S training for Hostel.

 


JOB REQUIREMENT

  • Diploma in Business Studies, HR or equivalent.
  • At least one to two years, must know how to renew foreign workers work permit.
